Managing Jobs

The Jobs section is where you track the work your team is actively managing.

The Jobs section is where you track the work your team is actively managing.

➡️ What you can do

  • Create jobs and add all relevant details

  • Assign a technician to each job

  • Track material usage tied to a specific job

If you're connected to an FSM (ServiceTitan, Housecall Pro, or Jobber), jobs created there sync automatically into this section, you generally don't need to create them manually. See Connecting SureStock with Your Other Tools if you haven't set that up yet.

➡️ Best practices

Assign one technician per job whenever possible.

Automatic material deduction (pulling materials from a tech's truck when they're added to a job) depends on knowing which truck to pull from. If multiple techs are assigned to the same job, the system can't reliably determine which truck to use, see HouseCall Pro Jobs + Ply: How Jobs Work + Location Responses for the full explanation, and Multi-Tech per Job if you do need to configure shared trucks for jobs with more than one tech.

Set each technician's Response Location before they start pulling materials on jobs.

This is what tells the system which truck to deduct from, without it, materials default to pulling from the warehouse instead. Set it under Settings → Company & Billing → Team.

Use Tech Job Visibility to control clutter, not to hide work.

If your techs have dozens of upcoming jobs, consider narrowing their view to Day, Week, or Next instead of All, see Tech Job Visibility for the four options and how to set them.

Be cautious about editing old, already-closed jobs in your FSM.

Depending on your FSM, resyncing is often triggered by last-modified date rather than creation date, editing an old closed job can pull it back into the current sync window and cause materials to reappear or duplicate. If you need to make a correction to a closed job, check with support first if you're not sure how your specific FSM will handle it.

➡️ Common issues & fixes

"Materials are being deducted from the warehouse instead of the technician's truck."

This almost always comes down to the response location setup. See HouseCall Pro Jobs + Ply: How Jobs Work + Location Responses for the two most common causes (missing response location or the tech not being assigned to the job) and how to fix each.

"I need to reopen a job that was already marked closed." See How to reopen a closed job for the steps.

"A job created in my FSM isn't showing up in Jobs." This depends on your FSM. For Jobber specifically, see Jobber Integration – Jobs Not Syncing for how to manually sync a single job. For other FSMs, check your integration's sync settings or reach out to support.

"I'm not sure how a serialized material's serial number ends up attached to a job." Currently, syncing a serial number to the job itself (visible on the FSM side) is only supported for Housecall Pro, see Serial Numbers on Housecall Pro Jobs for the full setup and requirements.

➡️ FAQs

Do I need to manually create jobs if I use an FSM?

No, jobs created in your connected FSM (ServiceTitan, Housecall Pro, or Jobber) sync into Ply automatically. Manual job creation is mainly for teams not using an FSM integration.

Can more than one technician be assigned to a job?

Yes, but it changes how automatic material deduction works; see Multi-Tech per Job for how to configure sourcing correctly in that case.

Does closing a job affect the materials already used on it?

No, closing a job doesn't remove or change the material usage history tied to it. It simply changes the job's status.
