Filtering, Sorting & Exporting Materials

Quickly find, organize, and export the materials in any warehouse or truck, this article covers how to sort your list, filter by category/supplier/type, and export what you need to a spreadsheet.

The materials view within a warehouse gives you several ways to quickly find what you need.

Click Filters to narrow the list by:

  • Category

  • Brand / Manufacturer

  • Supplier

  • Position

  • Tags

  • Material Type (replenishable or non-replenishable)

💡 What does "Material Type" actually filter?

This is based on the Replenishable material setting on each item, materials marked non-replenishable (sometimes called deadstock) won't trigger low-stock alerts or show up in the Replenishment List, even if their quantity is below the configured minimum. Select one or more materials and export as an Excel spreadsheet.

If you can't find a material you're expecting to see, check whether it's been deactivated before assuming it's missing filters.

Deactivated materials are intentionally hidden from most views to keep your catalog clean, see Activating and Deactivating Materials for how to find and restore them.

Run Variance Reporting periodically alongside your regular filtering/sorting routine.

Filtering and sorting help you find what you're looking for, but they won't surface catalog issues like duplicate materials or items with no assigned location, Variance Reporting is built specifically to catch those.

Combine filters rather than scrolling through everything.

Category + Supplier, or Tags + Material Type, narrows large catalogs down quickly, especially useful before a bulk export.


➡️ Common issues & fixes

"A material I know exists isn't showing up no matter how I filter or sort."

Check whether it's been deactivated; deactivated materials are hidden from the standard view by default. See Activating and Deactivating Materials to find and reactivate it if needed.

"I filtered by Material Type but I'm not sure what 'non-replenishable' actually means for that item."

It means that material won't trigger replenishment alerts or appear on the Replenishment List even if it's low or out of stock, usually because it's intentionally being phased out or run down. See Non-Replenishable Materials for the full explanation and how to change it.

"My exported spreadsheet is missing materials I expected to see."

Double-check your active filters before exporting, the export reflects whatever's currently filtered/sorted on screen, not your entire catalog. Clear filters first if you want a complete export.

Can I export just the materials matching my current filters, or does it always export everything?

The export reflects your current filtered/sorted view, select the specific materials (or leave your filters applied) to export just those.

Is there a way to find duplicate materials directly from this view?

Not from filtering/sorting directly, use Variance Reporting instead, which is purpose-built to detect duplicates and materials without a location.
