4. Creating Your First RFQ

Creating your first RFQ with Ply is easy!

Here's a step-by-step guide to get you started:

Step 0: Initiate a New Request

  • Navigate to the 'New Request' button located in the upper right corner of your dashboard. Alternatively, you can use the '+' sign or other indicated shortcuts throughout the Ply interface to begin this process.

Step 1: Define Project Details

  • Select an existing project from your list or create a new one to associate with your RFQ.

Step 2: Add Material Information

  • Fill in the RFQ name, estimated material costs, and list the specific items you need. Utilize Ply’s comprehensive material database for ease or upload your material list in various formats like PDF, CSV, or an image.

Step 3: Supplier Selection and Sourcing

  • Decide whether to invite suppliers from your pre-defined list for bidding or opt to let Ply handle the sourcing. You have the flexibility to choose one or both options.

Step 4: Fulfillment Information

  • Input necessary details such as desired lead times and delivery information, ensuring suppliers understand when and where materials are needed.

Step 5: User Involvement [Optional]

  • At this stage, you can invite other users to monitor and/or edit the RFQ. Assign relevant permissions as needed, ensuring the right team members are kept in the loop.

Step 6: Review and Submission

  • Carefully review your RFQ for accuracy. Add any pertinent notes that might help the supplier, such as special shipping instructions or a specific contact for delivery.
  • Submit your request. It will be queued for a Ply buyer to be assigned, typically within minutes.

Post-Submission

  • Once your RFQ is in the hands of a Ply buyer, they will actively engage with your selected suppliers and leverage the Ply network to gather bids.
  • As bids are received, your RFQ status will be updated accordingly, providing you with the latest information.
