SureStock tracks jobs by their last modified date, not the date they were created. If a closed or old job gets edited in your field service software (like ServiceTitan), even slightly, that change syncs to SureStock. The job is treated as recently active, and the materials on it can show up again in your inventory views and reports.
➡️ How the sync works
Your field service software sends job updates to SureStock in real time. SureStock then looks at the last modified date to decide how recent a job is.
A job created 6 months ago and never touched again → stays inactive.
A job created 6 months ago but edited yesterday → syncs and is treated as a recent, active job.
Once a job becomes active again, its materials are included in your inventory calculations and reports.
➡️ What usually re-triggers an old job
Someone edited it. A technician, dispatcher, or admin opened an old job and changed something small: a note, the status, a tag, or a custom field. Any edit counts.
A material was added after the job was done. For example, a tech added a part in ServiceTitan after the job was already completed. When the job syncs, that material comes with it.
An automation touched it. Automatic status changes, invoice generation, or follow-up rules can update old jobs without anyone opening them.
The change doesn't have to happen in SureStock. Any update in your field service software, however small, can bring the job and its materials back.
➡️ How to fix it
Find what changed. Open the job in your field service software and check what was edited recently.
Fix it at the source. Remove the incorrect material or revert the edit in your field service software. If you only fix it in SureStock, the next sync will overwrite your change.
Check the job in SureStock. Once the fix syncs, the job's materials and your inventory will update.
⚠️ ServiceTitan invoices that are already Posted: ServiceTitan won't accept changes to a job with a posted invoice, including removing a line item. You'll need to unpost or reopen the invoice in ServiceTitan first (depending on your permissions and accounting process), then make the correction there.
➡️ Could this affect my reorder alerts?
Only if the re-triggered job actually changes the quantity at a location, not just how it appears in a report. If that drop pushes a material below its minimum, it can show up in your Critical Items List or be picked up by an automatic restock, which could create a pick list or PO you don't need.

✅ Train your team not to edit closed jobs.
Technicians, dispatchers, and admins should only touch completed or invoiced jobs when it's truly necessary.
✅ Lock completed jobs in your field service software. Most platforms, including ServiceTitan, let you restrict editing on completed or invoiced jobs. It's the most effective way to stop this from happening.
✅ Review your automations. Make sure status changes, invoice triggers, and follow-up rules only apply to active jobs.
✅ Audit your inventory regularly with SureStock Reports so you catch unexpected changes early.
When something looks off, start by checking your field service software. Job changes originate there, and SureStock mirrors them.

If I remove the material in SureStock, will that fix it?
Only temporarily. The next sync will bring it back unless you also fix the job in your field service software.
Can I stop old jobs from syncing at all?
Not at the moment. Locking completed jobs in your field service software is the best way to prevent it.
Is there a report of materials still sitting on finished jobs?
Not yet. For now, check jobs individually or review them in SureStock Reports.
