➡️ Three ways to assign materials
You can send materials to a job from:
The Jobs tab
A stock location (warehouse or truck)
The SureStock mobile app
All three end in the same place: the materials leave the location they came from and show up on the job.
➡️ Method 1: From the Jobs tab
Go to Jobs in the left-hand menu.
Open the job you want to add materials to.
Click Add Items.
Select the location the materials are coming from (for example, a truck), if you know they're already there. You can add kits here too.
Choose the materials and set the quantity.
(Optional) Adjust the price.
If a material is serialized, select the serial number you're using.
Click Save and confirm.
📌 Note: materials can only be assigned to a job from the Jobs tab or through a stock transfer (Method 2). Options in the Catalog like Add to location control where a material is stocked, not which job it's on.
➡️ Method 2: From a warehouse or truck
Use this when you're in the warehouse and pulling materials straight from stock.
Go to Stock and select the location.
Select the materials you want to send.
Click Transfer.
Switch the transfer type from Location to Job.
Select an Active Job, or a Finished Job if the materials were used but never recorded.
Search for the job.
Adjust the quantity, price, or transfer reason if needed.
Click Transfer and confirm.
Open the job to check the materials were added.
➡️ Method 3: From the SureStock app
On the go? You can assign materials to a job from the SureStock app the same way you would on the web.
➡️ Sending unused materials back
Materials that weren't used on a job can be transferred back to a warehouse or truck. Technicians can scan and transfer items, but only to locations they're assigned to.
📌 Materials don't go back to stock automatically when a job is finished. Transfer them back manually.
➡️ How SureStock decides which location to pull from
When materials are added to a job through your field service software, SureStock needs to know whether to take them from the technician's truck or the warehouse. That depends on two things:
Which technician is assigned to the job
That technician's Response Location, set on their profile under Settings → Company & Billing → Team
If a technician doesn't have a response location, materials fall back to the warehouse, even if they're working out of their truck.
If more than one technician is on the same job, SureStock follows the sourcing strategy you've set up to pick which location to use.
➡️ Best practices
✅ Assign one technician per job whenever you can. It keeps it clear which truck materials come from.
✅ Set a Response Location for every technician before they start pulling materials.
✅ Check the job's Activity tab before assuming materials came from the wrong place.
It shows exactly which location each item was pulled from. Many times what looks like a wrong pull turns out to be correct once you check Activity.
✅ On ServiceTitan, have a Technician-role user add materials to the job.
If a Manager or Admin adds them, the invoice may need a technician assigned manually before it can post (see below).
➡️ Common Issues
"Materials added to a job won't let me assign a tech in ServiceTitan, and the invoice won't post."
This happens when a manager or admin added the materials. SureStock matches technicians to ServiceTitan by email, but only for users with a technician role. Have a technician-role user (with the same email in both systems) add or transfer the materials instead.
"A tech says materials came from the warehouse, but I expected their truck."
Check three things: the tech is assigned to the job, they have a response location set, and they're assigned to that truck. Then look at the job's Activity tab to confirm where each item actually came from.
"A tech can't see materials assigned to their truck."
Make sure the tech is assigned to that truck as a stock location and that their permissions let them view it. If both look right, contact support.
"A user is assigned to the job in my field service software, but not in SureStock."
Assignments usually sync automatically, but timing or a different email in each system can cause a gap. Contact Support with the job number and the user.

Can I add materials to a job that's already finished?
Yes. Use Method 2 and select a Finished Job.
Do materials go back to stock when a job closes?
No. Unused materials need to be transferred back manually.
Can more than one technician be on the same job?
Yes, but it changes how SureStock decides where materials come from. Keep it to one tech per job when possible.
Is there a report of materials still sitting on finished jobs?
Not yet. For now, you'll need to check jobs individually.
Can sourcing treat a lead technician differently from a helper?
Not currently. All technicians on a job are treated the same for sourcing.
Can materials be pulled from whichever tech finishes the job?
Not at the moment. Sourcing is based on technician orders or shared trucks.
Can I see who created or finished a job?
Not directly in SureStock today.
