➡️ How to Convert Items
1️⃣ Select the items you want to reclassify.
Go to Catalog and open the list containing the items (Materials, Consumables, Tools, or Equipment).
Check the box next to each item you want to convert.
2️⃣ Choose the type to convert to:
With items selected, open Other options ▾ in the action bar and choose the conversion action.
Pick the target type (Consumable, Equipment, or Tool).
Choose what happens to the original items:
Deactivate: the originals are deactivated and hidden from your catalog.
Delete: the originals are removed.
Click Convert.
3️⃣ Review the summary and confirm
If any items can't convert, Ply shows a modal listing exactly which ones and why (see below)
Fix what you can, or click Back to material conversion to adjust your selection.
If any items were skipped, see "What can't be converted" below to fix and try again.
➡️ What Can't Be Converted
Items synced to an external system (QuickBooks, ServiceTitan, Housecall Pro, or Jobber). These can't convert while linked.
Items currently in use: on an open purchase order, on a pick list, or inside a kit. Take them off first, then convert.
➡️ If Your Items Are Synced to an Integration
There's no self-service way yet to unlink a single item from ServiceTitan, QBO, HouseCall Pro, or Jobber. Until that's available, you have two options:
Small batch: disconnect the integration, run the conversion, then reconnect. This pauses all sync (POs, invoices, materials) while it's off, so plan for a quiet window and confirm sync resumes normally afterward.
Larger cleanup: send our support team the list of items and which type you'd like them converted to, our data team can process it in bulk on the backend without touching your integration at all.
➡️ Best practices
✅ Batch by target type, not all at once.
Convert all your Materials-to-Consumables together, then Tools-to-Equipment separately. Keeps the summary modal easy to read and makes it obvious which blocked items belong to which batch.
✅ Clear blockers before you start, not during.
Take items off open POs, pick lists, and kits ahead of time. Fewer surprises on the summary modal, cleaner batch.
✅ Not sure which type is right?
Check Materials vs Consumables in Ply before converting, converting to the wrong type just means doing it twice.
✅ On an FSM integration with a lot of synced items?
Skip the disconnect/reconnect cycle for anything more than a handful of items, send the list to support instead. Faster, and zero sync downtime.
➡️ Common issues & fixes
"It says I can't convert this item because it's on a PO, pick list, or in a kit."
Remove it from whichever of those it's currently on, then try the conversion again. Click Back to material conversion from the summary modal to adjust your selection without starting over.
"It says the item is synced to an external system, but I don't see how to unlink it."
That's expected right now, there's no self-service unlink yet. See "If Your Items Are Synced to an Integration" above for the two current workarounds.
"I disconnected my integration to convert some items, will everything resync when I reconnect?"
Yes, but double check sync resumes normally after reconnecting since it was paused for the duration of the disconnect.

Is there a limit to how many items I can convert at once?
No, you can convert as many items as you need in a single batch.
Can I convert Tools or Equipment too, or is this just Materials/Consumables?
Yes, the tool covers Materials, Consumables, Tools, and Equipment.
