Stock Locations & Material Configuration

Learn the difference between warehouses and trucks, and what you can set for each material in a location: replenishment, min/max, on-hand quantity, position, and barcode.

You can maintain stock in two types of locations:

Turn this on if you want the system to track this material for restocking. Turn it off for items you don't regularly replenish, they won't appear in reorder alerts.

The actual number of units currently in this location.

The physical location of the material: bin, aisle, level, shelf, etc. This helps your team find items faster during daily operations.

SureStock auto-generates a unique barcode for each material, but you can customize it at any time.

✅ Set a Min and Max for every material you restock.
Without a Minimum, SureStock has no point to trigger a replenishment alert, so the material can run out without warning.

✅ Turn off Replenishable for items you don’t keep on hand.
One-off or special order items don’t need to show up in reorder alerts. Turning the toggle off keeps your alerts focused on what you actually restock. See Non-Replenishable Materials.

✅ Set different values per location.
A warehouse and a truck rarely need the same quantities. Size each location’s Min and Max to what it actually uses.

✅ Fill in Position in your warehouses.
When your team builds a pick list, they’ll know exactly where to find each item instead of searching the shelves.

✅ Use Bulk Edit for large changes.
If you’re setting up a new location or updating many materials at once, Bulk Edit is much faster than editing one by one. See Bulk Updating Quantities, Min/Max, Barcodes & Positions.

“A material isn’t showing up in my reorder alerts.”
Check two things in that location: that the Replenishable toggle is on, and that the material has a Minimum set. If either is missing, SureStock won’t flag it for restocking. See Replenishment List.

“A material is flagged as overstock.”
Its on-hand quantity is above the Maximum you set for that location. Either raise the Maximum, or move the extra units to another location.

“Someone changed the quantity while I was editing it.”
SureStock checks whether the quantity changed after you opened the form, so your edit doesn’t silently overwrite someone else’s. Review the current quantity before saving.

“I scanned a barcode but it isn’t showing up as a UPC.”
Barcodes and UPCs are different fields in SureStock. See Barcode vs. UPC in SureStock.

What’s the difference between the Catalog and Stock?
The Catalog is your master list of materials. Stock is what you actually have on hand in each warehouse or truck. See SureStock: Catalog vs. Stock.

Can I set different Min/Max values for the same material in different locations?
Yes. These settings are per material, per location, so each warehouse and truck can have its own values.

Do these settings work for consumables, tools, and kits too?
Yes. The same options apply to consumables, tools, and kits within each location.

Can I use the manufacturer’s barcode instead of the one SureStock generates?
Yes. SureStock auto-generates a barcode, but you can replace it at any time. See Using Manufacturer, Custom or Auto-Generated Barcodes.
