What's the best way to add items to my Trucks?

There are four ways to load materials onto a truck in Ply. This guide walks you through each one and helps you pick the right option for your situation.

1. Transfer Materials from Your Catalog to Your Truck

  1. Head to your catalog and pick the materials you want to add.

  2. Click "Add to Location".

  3. From "Choose Locations", select your truck.

  4. Hit Save and you're done!

Pro tip: Once materials are on your truck, consider setting min/max quantities so Ply can automatically trigger replenishment requests when stock runs low.


2. Transfer Materials from Warehouses or Other Trucks

You can even move materials from one location to another!

  1. Go to your “Stock” tab and open the location you want.

  2. Choose the materials you want to transfer.

  3. Hit Transfer and select your truck.

Voila! The materials are on their way to the truck!


3. Manually Add Materials to a Truck

If you're feeling hands-on, here’s how to manually add materials:

  1. Go to Stock.

  2. Navigate to the Trucks tab.

  3. Select your truck.

  4. Click "Set up Materials."

  5. Fill in the details and save.

4. Bulk File Import (Large Data Migrations)

If you have a spreadsheet with materials organized by truck, you can import it directly into Ply using the Bulk Upload feature; no need to add items one by one.

  1. Prepare your file following the Ply bulk upload template format.

  2. Go to the Bulk Upload section in Ply (or contact our support team for assistance).

  3. Upload your file and map the columns as prompted.

  4. Review and confirm; materials will be populated across your truck locations.

5. How to Add Items to Your Trucks via Templates

Step 1: Create a Template

  1. Go to the Stock Locations tab and click on Templates (or select the items in your catalog and click on "Add to Your Template; here you'll be able to create the template or to add the items to an existing one).

  2. Click Add New Template and give it a meaningful name (e.g., HVAC Service Van Setup).

  3. Search and select the materials you want to include in the template.


Step 2: Customize Your Materials

Once your materials are added:

  • Set the Min & Max quantities for each item (this drives replenishment alerts). Make sure to click on the quantities to update the new ones.

  • Generate barcodes or select existing ones if you've already barcoded those items.

  • Click Create and your template is saved and ready to use. 💥


Step 3: Apply the Template to a Truck.

  • When adding a new fleet location (truck), you'll be prompted to select a template.

  • Choose which materials from the template you want to apply.

  • Adjust quantities if needed for that specific truck.

  • Hit Add to Truck (or warehouse if needed), and your truck is stocked!
