How to Add Online Vendors (Like Amazon) in Ply

Many businesses purchase materials from online vendors such as Amazon, Home Depot, Lowe’s, SupplyHouse, or other e‑commerce sites. While these vendors don’t have email address to place orders or don’t integrate directly with Ply, you can still track all purchases accurately by adding them as suppliers and creating POs for internal record‑keeping.

 

This article explains how to set up an online vendor in Ply and how to record purchases made outside the platform.

 

Can I integrate Amazon or other online vendors with Ply?

Not at this time. Ply cannot connect directly to online vendor websites or import orders placed on their platforms.

 

However, you can still:

  • Add these vendors as suppliers in Ply
  • Track all purchases using Purchase Orders (POs)
  • Keep your stock levels accurate

Step 1 — Add the online vendor as a supplier

When you add a vendor in Ply, the system requires an email address.

If your online vendor does not use email for POs (like Amazon), simply enter a placeholder email, such as:

  • amazon@noemail.com
  • orders@amazon.local
  • vendorname@placeholder.com

This allows you to save the vendor successfully.

How to add the vendor:

  1. Go to Vendors in Ply
  1. Click Add Vendor
  1. Enter the vendor name (e.g., Amazon)
  1. Add a placeholder email
  1. Save

✔️ The vendor is now available for all your purchasing workflows.


Step 2 — Log the purchase in Ply using a PO

Even though the purchase happened online, you should still create a PO in Ply so your records and stock stay accurate.

Recommended workflow:

  1. Complete your purchase on the vendor’s website
  1. Download the receipt or invoice PDF
  1. In Ply, create a new Purchase Order using the online vendor you added
  1. Attach the PDF to the PO
  1. Receive and reconcile the PO once the materials arrive so they can be reflected in stock.
 

This keeps your purchasing history clean and ensures inventory remains correct.

Do I have to create a PO for online purchases?

It’s not required, but it is strongly recommended so your inventory stays accurate and your purchase history is complete.

Will Ply email the PO to Amazon?

No, Amazon does not receive emailed POs. The PO stays in Ply for internal tracking only.

Can I skip the email requirement?

No, but you can use a placeholder email safely.
