Cleaning Up Equipment That Was Previously Added as Materials

If you added your equipment as materials before Ply had a dedicated Equipment section, here's how to move those items over and clean up your catalog.

Background

Before Ply had a dedicated Equipment section, a common approach was to add equipment as materials under an "Equipment" category. Now that Equipment exists as its own item type, with individual serial number tracking, warranty fields, and lifecycle statuses, you may want to move those items into the Equipment section and clean up the old material entries.

One thing to know up front: there isn't an automatic bulk conversion from materials to equipment yet. So the cleanup is really two parts: getting your equipment into the Equipment section, and then removing the old material versions. The right path depends on whether you have a Field Service Management (FSM) tool connected.


If you have Service Titan connected with Ply

If your equipment already lives in your ST account, you can bring it into Ply through the sync:

  1. Make sure your equipment is set up in ST, and that your ST account is connected to Ply.

  2. Run a sync (or reset it) so your equipment flows into Ply's Equipment section.

  3. Open the Equipment tab and confirm the items came in with the correct details.

  4. Check which of those same items were previously added under Materials (under your "Equipment" category) with the same details.

  5. Remove those duplicate material entries, so each item only lives under Equipment going forward.


If you don't have an FSM (or your equipment isn't in it)

If your equipment isn't coming from an FSM, you'll set it up directly in Ply:

  1. Identify which of your materials are actually equipment (the ones you added under your "Equipment" category).

  2. Create those as equipment in the Equipment section, entering their details. (For a full walkthrough, see our article on creating and tracking equipment.)

  3. Once each one is created in the Equipment section, remove the old material entry so you don't have duplicates.


A note on quantities and pricing

Because there's no automatic conversion, quantity and pricing details won't carry over on their own. You'll set or confirm those when the equipment is created or synced. If you have a large number of items to move over, our team can help.
