Matching Reporting

Ability to view detailed information on matching between the PO and the invoice.

What is Matching Reporting?

The Matching Reporting report in Ply gives you a comprehensive view of how your Purchase Orders (POs) align with the invoices received from your suppliers. It helps you catch price discrepancies, quantity mismatches, and billing exceptions before they become costly mistakes, while also showing you the time and money saved through automated matching.


How to Access

  • Go to the Reports section from the left-hand menu.

  • Select Matching Reporting.


What Information Does It Show?

Matching Statistics: A summary row at the top with key performance metrics:

  • Approved Rate: Percentage of invoices that have been approved

  • Avg. Auto-Match Rate: How often Ply automatically matches PO items to invoice lines

  • Total Match Items: Total number of items matched across all invoices

  • Exception Rate: Percentage of items flagged as exceptions requiring manual review

  • Avg. Price Discrepancy: The average dollar difference between PO price and invoice price

  • Time Saved: Estimated time saved through auto-matching

  • Cost Savings: Estimated savings from catching discrepancies


Auto-Match Tolerance Trends: A line chart showing how many items are within tolerance vs. out of tolerance over time, helping you track the consistency of your supplier invoicing.

  • In Tolerance: Items where the invoice price is within the acceptable variance range

  • Out of Tolerance: Items that exceeded the variance threshold and need attention

Exception Breakdown: A donut chart showing what's driving your exceptions:

  • 🟠 Quantity — Exceptions caused by quantity mismatches

  • 🔴 Price — Exceptions caused by price discrepancies


Approval & Exception Trends — A line chart tracking how many items are being approved vs. marked as exceptions over time, useful for spotting patterns or supplier issues.

Supplier Performance

A table listing each supplier with key metrics side by side:

  • Risk Score: A numerical indicator of how reliable the supplier's invoicing is.

  • # Invoices, # Approved, # Match Items, # Auto-Matched, # Exceptions

  • Spent: Total amount spent with that supplier.

  • Overpaid: Amount overpaid, with a directional indicator showing whether it's trending up or down.

  • Avg. Discrepancy: Average price difference per matched item.


Available Filters

Analytics filters:

  • Match Status

  • Supplier

  • Total Cost Discrepancy ($ and %)

  • Match Creation Date (date range)

  • Invoice Due Date (date range)

  • Comparison Period (date range)

  • Records to Analyze (e.g. 50 matching records)

Supplier Performance filters:

  • Risk Score (min/max)

  • Avg. Price Discrepancy (min/max)

  • Total Matches (min/max)

  • Total Approved (min/max)

  • Total Match Items (min/max)

  • Total Auto Matched (min/max)


Common Use Cases

  • Identify suppliers with high exception rates or large price discrepancies to renegotiate terms or escalate issues.

  • Monitor your auto-match rate over time to measure the efficiency gains from using Ply's matching feature.

  • Catch overbilling early by reviewing the Overpaid column in the Supplier Performance table.

  • Use the Exception Breakdown to determine whether your discrepancies are driven more by pricing errors or quantity mismatches.

  • Filter by a specific supplier to do a deep dive into their invoicing accuracy.

Tip: A high Out of Tolerance count is a signal to review your tolerance settings or follow up with your supplier, small discrepancies add up quickly over time.
