Keeping track of your tools is critical for any business. Tools can get lost, stolen, or misplaced, that's why Play introduced a dedicated way to manage all your tools, equipment, and assets in one place.
Tools are intended to be managed as a group, rather than tracking each individual item.
Why Are Tools Useful?
Whether your business has $10,000 or $1,000,000 worth of tools, knowing where your high-value items are at all times helps you maximize efficiency and avoid unnecessary losses.
Viewing Your Tools
Navigate to Catalog and click on the Tools tab. From there, you can:
Search tools by name.
Sort by any attribute.
Filter by location, job, assignment, or status.
The list view shows each tool's last assignment, current location or job, and the dataset it's assigned to.
Tool Details
When you drill into a specific tool, you'll find:
Number of units on hand, available, and in use.
Description and attributes.
Serialized unit information (e.g., which individuals have each unit and on which job/location).
Opening an individual unit shows the barcode, supplier, position, initial purchase price, and depreciated value. You can also print a barcode directly from here if you need to create or replace one.

Editing a Tool
Click the three dots next to the tool and select 'Edit Unit Info' to update the tool's name, serial number, supplier, purchase price, location and Job, and location barcodes.
You can also:
Assign users to the tool.
Update its status (e.g., mark it as Damaged to take it out of commission).
Tracking Tools by Stock Location
Inside any stock location, there's a Tools tab where you can see all tools available at that location, including their status and assigned job.
You can also move tools between locations, move a tool to a warehouse, truck or job, and the system will track who has possession of it and when it was last seen.
Duplicate Tool Items in Inventory
With this update, you can now duplicate tools directly from your inventory. This makes it faster to create new tool records without having to re-enter all the details manually.
How to duplicate a tool?
Go to Catalog > Tools.
Open the tool you want to duplicate.
Click on the three dots on the right, and select “Copy Unit”
Ply will create a new tool record with all the same information (name, description, cost, supplier, etc.).
Update any details you need (e.g., barcode, serial number).
Why it’s useful?
Saves time when you need to create multiple tools that are very similar.
Helps keep your catalog consistent by copying existing tool details.
Reduces data entry errors since you don’t need to start from scratch.
