HouseCall Pro + Ply: What Syncs?

Curious what data flows between HouseCall Pro (HCP) and Ply, and in which direction? Here's a full breakdown.

Overview

The HouseCall Pro integration syncs jobs, technicians, pricebook items, and more between HCP and Ply on an hourly basis. Jobs sync bidirectionally, while most other data flows in one direction depending on where it originates.

What Doesn't Sync

The following are not currently synced between HouseCall Pro and Ply:

  • Pictures/Images

  • Customer Details

  • Services (pricebook services, services as invoice items, services as estimate items)

  • Purchase Orders (POs don't sync directly, but a reconciled PO number will appear in the HCP job's notes)


How It Works

Details

Jobs Sync

Jobs sync bidirectionally. Status, technicians, scheduled times, and line items stay in sync between HCP and Ply.

Categories

Categories sync bidirectionally between HCP and Ply.

⚠️ Pricebook (Materials)

Materials sync bidirectionally between HCP and Ply. SKU, name, price, category, and tax settings transfer automatically. Note: there are settings available to disable Pricebook sync from HCP to Ply, if you'd rather manage materials from the Ply side only.

Line Items

Materials added to a job in Ply appear in the corresponding HCP job as a line item. There's an FSM setting to instead add these materials to the HCP invoice as job inputs; this is disabled by default.

Job Inputs

There's a separate FSM setting to sync job inputs from an HCP job back to Ply. When a job input syncs to the Ply job, a new material is created in the Ply catalog (if one doesn't already exist) and then appears on the Ply job. See related article: HouseCall Pro Integration Settings

⚠️Kits

Kits sync from Ply to HCP, where they map to HCP. When one of these materials is added to an HCP job, the linked kit will appear back in the Ply job.

Technicians

HCP technicians sync to Ply as users. Name, email, and employee ID flow automatically with each sync cycle.

⚠️Quotes (Estimates)

Only materials synced from an HCP quote carry over, and this only happens when the estimate pipeline is enabled in Ply. See related article: Estimates | Housecall Pro Integration


How to Tell if a Material is Synced

Once connected, any material coming from HouseCall Pro will appear in your Ply catalog with a blue HouseCall Pro logo and the label "Integrated with HouseCall Pro."

Why This Matters

Knowing exactly what syncs and in which direction helps you understand where to make updates (HCP vs. Ply) and troubleshoot discrepancies if something doesn't appear where you expect it.

Go to Settings → Workspace → Integrations to connect your HouseCall Pro account to Ply.
