Supplier Associate Roles in SureStock

Give your Ferguson rep their own login to manage consigned stock (or more) directly in your SureStock account, without seeing your pricing.

Ferguson staff sometimes need to log into your account to check consigned stock, run counts, or move materials out to your warehouses and trucks. Supplier Associate roles give them their own login with only the access they need, so you don’t have to share a user or hand out Admin access.

💡 Supplier Associates never see your prices or costs, can’t process returns, can’t add or edit suppliers, and can’t access job locations, no matter which role you choose.

➡️ The two roles

Consigned
Works like a technician for Ferguson. The associate can view and transfer stock in your consigned location and in the warehouses and trucks you assign them, and submit material requests on your behalf. No purchase order or pricing access. Best if Ferguson’s main job is looking after your consigned stock.

All Locations
Works in the warehouses and trucks you assign them, with access to purchase orders, reconciliation, and Min/Max levels on top. Best if Ferguson helps manage your inventory and purchasing more broadly.

➡️ How to add a Supplier Associate

  1. Go to Settings → Company & Billing and open the Team tab.

  2. Click Invite User.

  3. Enter the associate’s Email, First Name, and Last Name.

  4. Under User Role, go to Supplier Roles and select Consigned or All Locations.

In the Supplier field, select Ferguson Inc. This field is required.

  5. Want to double-check what they’ll have access to? Click Show Detailed Permissions to see the full list for that role.

  6. Click Send Invitation. Once they accept, they’ll show up in your Team list with their role and their supplier, Ferguson Inc.

💡 Adjusting inventory quantities is never allowed inside the consigned location, for either role. Associates can only adjust quantities in non-consigned locations they have access to.

➡️ What a Consigned associate sees

When a Consigned associate logs in, they only see the locations you’ve assigned them, plus your consigned location. Their menu is limited to Catalog and Stock, with no access to Purchasing or Reconcile.

From Stock, they can use the Warehouses, Fleet, Consigned, and Inventory Count tabs, and submit material requests from Field Requests.

💡 Don’t see a warehouse or truck in their view? It hasn’t been assigned to them yet. An Admin can assign locations from Settings → Company & Billing → Team.

➡️ What an All Locations associate sees

When an All Locations associate logs in, they only see the warehouses and trucks you’ve assigned them. On top of Catalog and Stock, their menu includes Procurement → Purchasing, where they can create, receive, and reconcile purchase orders.

From Stock, they can use the Warehouses, Fleet, Inventory Count, and Activity tabs, and submit material requests from Field Requests.

➡️ How transfers work

Associates move stock the same way your techs do:

  1. Go to Stock and open the location you want to move stock from.

  2. Select the materials you want to move and click Transfer.

  3. In Choose Location, pick the warehouse or truck you’re sending them to.

  4. Enter the quantity for each material and pick a Reason.

  5. Add a note if needed and click Transfer.

➡️ Best practices

✅ Pick the role that matches what your rep actually does.
If they mainly look after consigned stock, go with Consigned. If they also handle purchasing for you, go with All Locations.

✅ Give each associate their own login.
Don’t share one login across several reps. Individual users keep your activity history clear on who moved or counted what.

✅ Only assign the locations they actually work in.
Associates only see stock where you assign them, so keep that list tight.

✅ Review associate access when reps change.
If a rep moves on, archive their user so access doesn’t stay open.

➡️ FAQs

Can a Supplier Associate see my prices?
No. Neither role can see material prices, catalog prices, or costs.

Can they create POs?
Only with the All Locations role. Consigned associates can submit a material request, but they can’t create, approve, or receive POs.

Can a Supplier Associate edit quantities in the consigned location?
No. Consigned quantities only change when stock is transferred out or a PO is received. Associates can adjust quantities in other locations they have access to.

Why can’t anyone transfer stock back into the consigned location?
Consigned stock is restocked only through received POs. This keeps consigned quantities accurate for automatic replenishment.

Can a Supplier Associate process returns?
No. Returns aren’t available for either role.
