Overview
When you create a sales invoice in Sage Intacct, Ply brings it in as a job. The materials on the invoice come off your stock and are added to that job, and the technicians named on the invoice are added to the job too. Ply then sends the matching stock changes back to Sage, so both systems show the same inventory.
The job stays linked to its invoice. When the invoice changes in Sage, the job updates to match.
How It Works
Each Sage Intacct sales invoice comes into Ply as a job, and the job stays linked to that invoice.
When a new invoice comes in:
Ply creates a job from the sales invoice.
The materials on the invoice come off your stock and onto that job.
The technicians named on the invoice are added to the job.
Ply sends the matching stock changes back to Sage Intacct, so both systems show the same inventory.
When an invoice changes:
The job follows the invoice, so you don't need to update it in Ply.
If you... | What happens in Ply |
Edit the invoice in Sage Intacct | The job updates to match |
Remove a line from the invoice | That material comes off the job, and its stock goes back to the warehouse it came from |
How to Sync Jobs Right Away
Jobs sync from Sage Intacct on their own, so there's nothing you need to do day to day. If you just created or changed an invoice and want to see it in Ply right away, you can run a sync manually.
Go to the Jobs page in Ply.
At the top of the page, click Sync jobs from Sage Intacct.
Wait for the sync to finish, then find the new or updated job in your jobs list.
⚠️ Note: Only users with the Manager role or higher can see and use the Sync jobs from Sage Intacct button.
Why This Matters
No double entry: you create the invoice once in Sage, and the job appears in Ply on its own.
Accurate stock: materials are taken from your stock when the job is created and returned when a line is removed, so your counts stay correct.
One source of truth: Ply and Sage Intacct show the same inventory, because every stock change goes back to Sage.
Your team stays informed: technicians named on the invoice are already on the job.
