QBO | How to Set Location and Class on Purchase Orders

Overview

If you track Classes or Locations in QuickBooks Online (QBO), you can now set them directly on your Purchase Orders in Ply. These values carry through to QuickBooks when the PO syncs, so your accountant no longer needs to re-tag every PO by hand.

This feature is available exclusively for users who have QuickBooks Online integrated with Ply.

Requirements

  • An active QuickBooks Online integration in Ply

  • Class tracking and/or Location tracking turned on in QuickBooks Online

How to Enable Class and Location Tracking in QBO

The Location and Class fields only appear in Ply if tracking is turned on in QuickBooks.

  1. In QuickBooks Online, go to Settings > Account and settings

  2. Open the Advanced tab

  3. In the Categories section, turn on Track classes and/or Track locations

  4. Click Save

How It Works

1. Create or edit a Purchase Order in Ply.

2. Set the Location in the PO.

3. Set the Class on each line. Choose a Class for each material individually, or use Set class for all lines to apply the same Class to every line at once.

4. Save the PO. The Location and Class will carry through to QuickBooks when the PO syncs.

⚠️ Note: If you just added a new Class or Location in QuickBooks and don’t see it in Ply, click Refresh from QuickBooks in the dropdown to pull in the latest values.

Frequently Asked Questions

I have QBO connected, but the Location or Class field isn’t showing. What do I do?
Make sure Class and/or Location tracking is turned on in your QuickBooks Online settings (see steps above). The fields only appear in Ply when tracking is enabled in QBO.

I added a new Class in QuickBooks, but it’s not in the dropdown.
Click Refresh from QuickBooks in the dropdown. If it still doesn’t appear, contact our support team at [email protected].

Why does the Location field have a different name in my account?
Ply uses the name your company set for this field in QuickBooks, such as Division, Territory, or Property.

Can I set a different Class for each line on the same PO?
Yes. You can set a Class per line, or use Set class for all lines to apply one Class to the whole PO.
