Setting Up Product Variants in SureStock

Learn how to create and manage variants in SureStock to offer multiple options, like size or color, for a single item under one main product.

➡️ What Are Variants?

The Variants feature in SureStock allows you to offer customers multiple options for a single product, such as different sizes, colors, or styles, all grouped under the same main item.

This helps you keep your catalog organized while providing flexibility at the job and inventory level.


➡️ How to Create Variants

You can add variants when creating a new item or editing an existing one.

  1. Log in to your SureStock account and go to the Catalog section.

  2. Click "Add Item."

  3. Search for an existing material to link to your new item, or create a new material if it doesn't exist yet.

  4. Once you select the material you'd like to add a variant to, scroll down to the "Variants" section, here you can add different sizes, colors, or styles as variants.

5. Set different prices for each variant if needed.

➡️ Variation for Replace

If a material has more than one variation, SureStock needs to know which one acts as the default when broken materials come back and need to be replaced. That's what Variation for Replace is for.

When you're creating a material with multiple variations, you'll see a "Variation for Replace" section listing each variation with a checkbox. Check the one that should be used as the replacement when this item comes back broken, only one variation can be selected.

📌 Note: This checkbox only becomes relevant when you have more than one variation on the material. If there's only one variation, there's nothing to choose between.

6. Assign a location to each variant.

Alternatively, you can edit an existing item directly from the Catalog to add a variant:

  • Find the item in your catalog.

  • Click the three dots (...) next to it.

  • Select "Edit Material."

  • Scroll down to the "Variants" section.


➡️ Adding Variants to a Location

Variants can also be added to different locations directly from your Catalog:

  • Click the three dots (...) next to the item, then select "Edit Availability."

  • Update their prices the same way by clicking the three dots (...) next to the item and selecting "Edit Price."


➡️ How Variants Are Managed

  • Variants are grouped under the same material in your Catalog.

  • At the location level (warehouse or truck), each variant appears as a separate item for easier tracking and inventory management.

  • Each variant automatically gets its own barcode per location.

  • You can replace these barcodes if needed, during creation, or later by editing at the location level (Location → Find the item → Three dots → Edit availability).


➡️ Can We Add Variants to a Job?

✅ Yes, you can!

  1. Go to the Job.

  2. Click "Add Item."

  3. Select the location and search for the item; all available variants at that location will pop up for selection.


➡️ Variant Sync with Your FSM

🛑 Currently, only the first variant syncs to your connected FSM (ServiceTitan or Housecall Pro). This limitation exists because FSMs don't yet support multiple customer prices for the same material.

For now: if you want each variant to sync properly to your FSM, create each variant as a separate material in SureStock instead of using the Variants feature.

We are actively investigating this and working on improvements.


➡️ Common Issues

"Only one of my variants is showing up in ServiceTitan/Housecall Pro."
That's expected right now, only the first variant syncs to your FSM. If you need every option to sync with its own price, set each one up as a separate material instead of using Variants.

"I can't find where to set a different price per variant."
Prices are set per variant when you create or edit it, in the Variants section of the material, or afterward via the three dots (...) → Edit Price at the location level.

"A variant's barcode isn't what I expected."
Each variant gets its own barcode per location automatically. If you need a different one, you can replace it during creation or later from Location → find the item → three dots → Edit availability.

How many variants can I add to a material?
Not documented as a hard limit in this article, if you're planning a large number of variants, it's worth checking with Support first.

Do variants show up as separate items when I check stock at a location?
Yes, at the location level (warehouse or truck), each variant appears as its own separate item for tracking purposes, even though they're grouped under one material in the Catalog.

Can I add variants to a job?
Yes, from the Job click Add Item, select the location, and all available variants at that location will show up for selection.
