How to Deactivate a Material in SureStock

Deactivate materials you no longer need instead of deleting them, keep your catalog clean while preserving history and traceability, with the option to restore anytime.

➡️ Why Deactivate Instead of Delete?

Instead of deleting materials you no longer need, we recommend deactivating them. This keeps your catalog clean while preserving the material's history and ensuring full traceability, you can always bring it back if you need it later.

Deleting a material is permanent. Deactivating it means you can:

  • Keep a record of past usage and purchases tied to that material.

  • Restore it at any time without losing any historical data.

  • Avoid accidentally removing something that might still be referenced in old jobs or POs.


➡️ How to Deactivate a Material

  1. Go to Catalog and open the material you want to deactivate.

  2. Click on the Stock tab.

  3. Toggle the button on the right to deactivate it.


➡️ How to Reactivate a Material

To bring a material back, just follow the same steps and toggle the button back on.

You can search for the item name, or scroll to the bottom of your materials in the Catalog to find all your deactivated materials, which appear grayed out.


➡️ Common Issues

"I can't find a material I deactivated a while ago."
Deactivated materials aren't deleted, they're grayed out at the bottom of your Materials list in Catalog. You can also search for the item by name directly, deactivated materials will still show up in search.

"I deactivated a material by mistake, will I lose its history?"
No. Deactivating never removes historical data, past purchases, usage, and job/PO references stay intact. Just toggle it back on to reactivate.

"Should I deactivate or delete an item I don't use anymore?"
Deactivate, unless you're certain you'll never need the record again. Deleting is permanent and can create issues if the item is still referenced in old jobs or POs, deactivating avoids that risk entirely while still cleaning up your active catalog view.

Does deactivating a material affect existing jobs or POs that used it?
No, historical references stay intact. Deactivating only affects whether the item shows up as active going forward.

Can I reactivate a material at any time?
Yes, there's no time limit, toggle it back on whenever you need it.

Where do deactivated materials show up?
At the bottom of your Materials list in Catalog, grayed out. You can also find them by searching the item name directly.
