From material requests and replenishment events to purchase order returns and payments. This guide walks through each section of the Notifications.
Accessing Notification Settings
Log in to your Ply account.
Go to Settings.
Workspace.
Click the Notifications tab at the top of the page.
You'll see five tabs: Basic Notifications, Custom Events, Location Preferences, PO Returns, and Payments.
Basic Notifications
This tab controls the core email notifications sent to your account. Each item has a toggle. Green means active, grey means off.
Notification | What it covers |
Material Requests | Updates on RFQs and material request communications with suppliers |
System Notifications | Billing, data integration sync, and other account-level updates (sent to admins/managers) |
Product and Marketing Updates | New features and marketing offerings from Ply |
Daily Summary | A daily recap of RFQs, locations, and materials |
PO Chat Email Notifications | Alerts for new messages in a Purchase Order's chat |
Custom Events
Use this tab to create and manage custom notification rules, for example, a Replenishment alert.
For each custom event, you can see:
Events: number of event types configured
Locations: number of locations the event applies to
Users: who receives the notification
Period Frequency: how often it's sent (e.g., Daily)
Creating a New Event
Click Create New Event to open the setup screen:
Event Name: enter a name for the event.
Locations: use Search & Add Location to select which location(s) the event applies to (e.g., a specific truck or warehouse).
Events: choose what triggers the notification. Currently, there are two options available:
A certain number of items are added to the replenishment list. Set the Number of items threshold using the +/- stepper.
A certain material is added to the replenishment list
Users: use Search & Add User to choose who receives the notification. Each added user shows their name, email, and role.
Period Frequency: select how often notifications are sent (e.g., Daily) and the Time of Receipt.
Click Save Event.
Location Preferences
Notifications for location-specific events (like stock or replenishment alerts) only reach users who have that specific location turned on in their Location Preferences. If a location isn't enabled for a user, nothing comes through for that location. Even if they're otherwise subscribed to the event type itself.
Choose which locations (Warehouses, Trucks, Jobs) you personally want to receive notifications for.
Use the All / Warehouses / Trucks / Jobs filter to narrow the list.
Use the search bar to find a specific location.
Toggle each location on or off.
If you manage a team, click Manage Team Preferences to configure notification settings on behalf of other users.
PO Returns
Why this matters: When a Warehouse Manager performs a "Transfer to Warehouse" in ServiceTitan to return leftover PO-sourced materials from a job, this removes the PO items from the job in ServiceTitan, but Accounting has no visibility into that action on its own. Without a notification, they can miss the opportunity to adjust job costing and process the return correctly.
This tab solves that: it controls who gets automatically notified when PO-sourced material is transferred off a job and back into a warehouse. Recipients receive an email with the job number, PO number, and line items, so they can post the cost deduction in ServiceTitan.
Example of email notification:
To set this up:
Enter an email address in the recipient field.
Click Add recipient.
Payments
This tab controls notifications related to purchase order payments.
Only visible if Payments is enabled on your account.
Payment notifications is the master switch. Turning it off mutes all financial notifications for your account, including purchase order and match updates.
When enabled, you can configure:
Payment Updates: payment confirmations, failure alerts, scheduled payments, cancellations, and funding account changes
Reminders: due date reminders (3 days before), overdue alerts, and early pay discount reminders
Action Required: alerts when a payment needs approval
Delivery Channels: choose to receive these notifications by email and/or push notification (in-app notifications are always on)
