QuickBooks + Ply: What Syncs?

A quick guide to what information syncs between Ply and QuickBooks Online

Overview

Ply's QuickBooks integration connects only with QuickBooks Online (QBO). It is not compatible with QuickBooks Desktop.

This integration syncs material catalogs, vendors, and purchase orders between both platforms, and also lets you configure accounting and shipping settings based on each account's needs.

* Vendors only sync to Ply once a purchase order has already been created for them in QBO. Shipping cost only syncs if the setting is enabled in the integration configuration.

💡 Tip: If a vendor isn't showing up in Ply after syncing, first check whether it has at least one purchase order created in QBO.


Advanced Settings

A few settings affect how the sync behaves:

  1. Location selection: defines which location(s) materials are shipped from.

  2. Quantity on Hand: automatically sums available quantity across all locations.

  3. Auto-close purchase orders: POs close automatically in Ply once received.

  4. Shipping cost: lets you include shipping cost as part of the sync.


Internal and COGS Accounts

⚠️ Internal accounts and cost of goods sold (COGS) accounts are part of your own internal finance setup. Ply Support doesn't determine which accounts to use.

Please check with your own finance department or accountant to configure these correctly.


Why This Matters

Knowing what syncs automatically (and what requires a prior condition, like an existing PO for vendors) helps avoid confusion when a customer reports "missing" data that simply hasn't met the sync requirements yet.
