Setting Up the FieldEdge Integration

Requirements, install steps, and the rules that keep Ply and FieldEdge in sync.

Step 1 - Connect FieldEdge from your Ply settings

  1. In Ply, go to Settings → Workspace → Integrations.

  2. Open the Field Service Management tab and click Connect FSM.

  3. Choose FieldEdge from the list of available systems.

  4. Ply will prompt you to open FieldEdge to complete the connection. Step-by-step instructions also appear on the left side of the screen as you go.

  5. Click the button to be redirected to your FieldEdge account, and activate the Ply integration from there.

  6. Once activated, you'll be returned to Ply.


Step 2 - Select your main location

Back in Ply, choose the main location that FieldEdge information will be brought into.

  • If you already have locations set up, open the dropdown and select the one you want to use (for example, your main warehouse).

  • If you don't have a location yet, you can create one right there from the same screen.

Then click Confirm connection.

Why this matters: the Warehouse field on FieldEdge invoice line items only becomes available once locations have synced from Ply. Until then, your team won't be able to choose where stock is pulled from.

Your locations appear in FieldEdge under Work Orders, in the Warehouse dropdown on inventory line items.


Step 3 - Choose what to sync first

After confirming, Ply asks what you'd like to bring over first:

  • Materials only

  • Jobs

  • Or skip for now and sync later

Pick an option and close the window. You'll see the sync running, and a confirmation message appears on screen once it completes.


Step 4 - Re-syncing later

Materials sync automatically twice a day, at 6:30 AM and 6:30 PM. Categories sync instantly.

You can always trigger a sync manually. Go to your Catalog and use the FieldEdge button to force a sync, then choose to pull materials or jobs. Repeat until everything you need has come through.

This is the first thing to try if an item or job isn't appearing where you expect it.


Step 5 - Align your defaults

Your Ply CSM will help align the accounting defaults (income account, COGS, inventory asset account) between Ply and FieldEdge during onboarding. Once they're aligned, we recommend leaving them alone - changing them later on one side only causes items to post to the wrong accounts in QuickBooks.


Step 6 - Move item management into Ply

This is the most important habit to build.

Ply is your source of truth for inventory

  • Create and update inventory items in Ply, not in FieldEdge. Ply pushes the update out to FieldEdge and QuickBooks (If you are connected to quickbooks).

  • Do not run item imports in FieldEdge. Bulk imports and bulk updates should always be done in Ply.

  • Once you're integrated, FieldEdge will direct you back to Ply when you try to create an inventory item there.


How the sync flows

The intended direction is: Ply → FieldEdge → QuickBooks Online → Ply

Your FieldEdge Item List mirrors your Ply Catalog. If you make changes in the middle of that loop (directly in FieldEdge or directly in QuickBooks), you risk items falling out of alignment.

A few things to know about QuickBooks

  • Inventory vs. non-inventory items: in FieldEdge, an inventory item carries an inventory asset account and affects your QuickBooks inventory count. A non-inventory item does not.

  • Purchase Orders created directly in QuickBooks do not flow back into FieldEdge. That sync runs one way, FieldEdge → QuickBooks. If you enter POs straight into QuickBooks, your job costing and margins will live in QuickBooks only.

  • Invoices sync when finalized. A completed work order doesn't automatically hit QuickBooks - someone has to finalize the invoice.
