Configuring Notifications & Team Location Preferences

Control who gets notified about what, and where, so the right people hear about stock issues without everyone getting flooded with alerts that don't apply to them.

SureStock gives you full control over which alerts you and your team receive—and for which locations.

➡️ Where to find it

Go to Settings → Notifications. You'll see four tabs: Basic Notifications, Custom Events, Location Preferences, and Payments.

➡️ Basic Notifications

This tab controls your account-wide email preferences for standard communication types:

Setting

What it covers

Material Requests

Important information and updates for RFQs and material requests with suppliers

System Notifications

Sent to admins/managers — billing information, data integration sync status, and other relevant account updates

Product and Marketing Updates

New product announcements, marketing offerings, and other relevant updates

Daily Summary

A daily digest email covering RFQs, locations, and materials — off by default

PO Chat Email Notifications

Emails about new messages in a Purchase Order's chat

💡 Daily Summary is off by default, the other four are on.

If you want a single daily digest instead of getting notified as things happen throughout the day, turn Daily Summary on; you can leave the others on for immediate updates, or turn any of them off individually if they're not useful for your role.

➡️ Custom Event Notifications

When setting up a custom event (for example, around your replenishment list), you'll choose between two trigger types:

Trigger type

How it works

Best for

Number of items in replenishment list

Fires whenever the total count of items on the replenishment list meets or exceeds your chosen threshold (e.g., "1 or more")

A general heads-up that something needs attention, without tracking specific materials

Certain materials in replenishment list

Fires only when specific materials on a watchlist you configure show up on the replenishment list

Getting alerted specifically when critical, hard-to-source, or high-priority SKUs run low — everything else stays quiet

💡 Don't confuse the two. If you're only trying to watch a handful of critical SKUs, "Number of items" will fire constantly for anything hitting the list — switch to "Certain materials" and build a watchlist instead.

Then assign which team members should receive those notifications.

➡️ Delivery channels for Custom Events

Custom notification events currently support in-app and mobile push notifications only — email is not yet supported for these (that's what the Basic Notifications tab covers instead). If a custom event isn't reaching someone's inbox, that's expected; check their in-app notifications or mobile push instead. If email delivery is important for your workflow, let support know — this is something we can log as a feature request.

➡️ Team Location Preferences

Notifications for location-specific events (like stock or replenishment alerts) only reach users who have that specific location turned on in their Location Preferences. If a location isn't enabled for a user, nothing comes through for that location — even if they're otherwise subscribed to the event type itself.

💡 This is the #1 cause of "I'm not getting notifications." Before troubleshooting anything else, check whether the affected user has the relevant location toggled on under Location Preferences

To access this: Settings → Workspace → Location Preferences → Manage Team Preferences

➡️ Best practices

Check location preferences first when a user reports missing notifications.

This resolves the majority of "why isn't this working" cases before you need to look at anything else.

Use "Certain materials in replenishment list" for a focused watchlist, not the default threshold trigger.

If you only care about a handful of critical items, a watchlist keeps notifications meaningful instead of firing on anything and everything.

If techs report receiving notifications for locations they aren't assigned to, have them update the app and log back in before escalating further.

This has been a real, fixed issue in the past — see Common issues & fixes below.

➡️ Common issues & fixes

"A user isn't getting notifications for a location's events at all."

Check their notification preferences and confirm that specific location is toggled on. Notifications are filtered by location — being subscribed to the event type alone isn't enough if the location itself isn't enabled for that user.

"Custom notification events aren't showing up in email."

That's expected — email isn't currently supported for custom notification events, only in-app and mobile push. If email matters for your team's workflow, let support know so we can log it as a feature request.

"Technicians are receiving stock/warehouse notifications for locations they're not assigned to."

This was a real, confirmed issue in the past that's since been fixed. If you're still seeing this, have the affected users update to the latest app version and log out and back in — that resolved it in the case we saw. If it persists after that, contact support with the specific users and locations involved.

"I set up a threshold-based replenishment notification, but it's firing more often than I expected."

Double check whether "Number of items in replenishment list" is the right trigger for your use case — it fires based on total count, so it can trigger frequently if your list regularly has even one item on it. Switch to "Certain materials in replenishment list" with a defined watchlist if you want fewer, more targeted alerts.

➡️ FAQs

Can I set different location preferences for different users?

Yes — each user configures their own notification preferences, including which locations they receive alerts for.

Will email support be added for custom notification events? I

t's not currently available, but it's something we track as demand comes in — let support know if this would make a meaningful difference for your team.

Can a user be subscribed to multiple locations at once?

Yes — toggle on as many locations as relevant for that user's role.
