Inventory Count Sheet

Filter and count the materials that have been used and how frequently.

What is the Inventory Count Sheet?

The Inventory Count Sheet report in Ply gives you a clear picture of material flow across your locations - how many materials are coming in, going out, and which ones are being used most frequently. It's a great tool for routine inventory audits and keeping track of overall stock activity over a given period.


How to Access

  • Go to the Reports section from the left-hand menu.

  • Select Inventory Count Sheet.


What Information Does It Show?

Materials Usage summary - A high-level overview at the top of the report showing:

  • 🟢 Materials IN: Total materials that came into your locations during the selected period.

  • 🔴 Materials OUT: Total materials that left your locations during the same period.

  • A line chart visualizing the IN vs. OUT trends over time, making it easy to spot spikes or drops in activity.

Top 5 Materials: A quick-glance list of the most frequently used materials during the period, along with their usage count. Great for identifying your highest-demand items at a glance.

Materials list by location - Scrolling down, the report breaks activity down by location, showing four sub-sections for each:

  • Transferred: Materials moved to a job or another location, including destination, user, and quantity.

  • Added: Materials added to the location, with the responsible user and quantity.

  • Reconciled: Materials that were reconciled. Shows "No items found" if no reconciliations occurred.

  • Deleted: Materials removed from the location, with the user and quantity.


Available Filters

  • Date range

  • Search by item (per location)

  • Sort order (Newest First / Oldest First/ Others)

  • Additional filters

  • Export per location (Export as PDF/ Excel)


Common Use Cases

  • Run a periodic inventory audit to verify what's moving in and out of each location.

  • Identify your top-used materials to ensure they're always well stocked.

  • Review which technicians are transferring, adding, or removing materials and in what quantities.

  • Use the exported data to reconcile inventory records with job costs.

Tip: Pair this report with the Low Stock report to make sure your top-used materials never run out.
