Overview
By default, materials used on a job in Ply are synced to your Field Service Management (FSM) software - such as HouseCall Pro, Jobber, or Service Titan - as soon as they are added.
With the Sync Items Only When Specific Job Status Reached setting enabled, you can control exactly when those materials are sent over, ensuring they only sync once the job has reached the appropriate stage in your workflow.
Why Use This Setting?
This setting is useful if your team:
Wants to avoid syncing materials to a job before it's been approved or completed
Needs to review items before they appear in invoices or job reports in your FSM
Has a multi-step workflow where materials are added early but should only be reflected in the FSM at a later stage (e.g., when a job is marked as "Completed" or "Invoiced")
How to Enable It
Go to Settings in your Ply account.
Navigate to Workspace > Integrations.
Find the Sync Items Only When Specific Job Status Reached toggle and enable it.
Select the job status that should trigger the sync (e.g., Completed, Invoiced, etc.).
Save your changes.
How It Works
Once enabled, materials assigned to a job in Ply will not be sent to your FSM immediately. Instead, Ply will wait until the job reaches the status you selected. Once that status is triggered in your FSM, the materials will sync over automatically.
Example: If you select "Completed" as your trigger status, materials will only appear on the job in HouseCall Pro, Jobber, or Service Titan once the job is marked as Completed, even if the technician added the materials days earlier.
Things to Keep in Mind
This setting applies to all jobs connected to your FSM integration.
If a job never reaches the selected status, the materials will not sync.
You can disable this setting at any time to return to the default behavior (immediate sync).
